Systems modernization for a multinational company.

The client is a company present in five Latin American countries (Chile, Argentina, Brazil, Peru and Colombia), the United States, China (with a commercial office) and Uruguay, where it has a technological, digital and innovation Hub. Its operations are spread across different business lines, including: Supermarkets, Home Improvement, Department Stores, Shopping Malls and Financial Services -maintaining a Joint Venture in all countries except Argentina. As of today, the group has 48,408 employees, according to the investors' website.

Implementation of the Budget System (SIP - OPEX):

The context

Systems management faced the challenge of improving operating budget planning in several countries and replacing the shared Excel spreadsheets, which generated problems and loss of information.

Description

The Budget System (SIP - OPEX) was developed and implemented for systems management operational budget planning in multiple countries. In addition, forecasting exercises were enabled to estimate future expenses and it was integrated with SAP to facilitate the tracking of actual expenses.

Results

- The system has been implemented in production since July 2021.
- Budgeting exercises were successfully carried out for the 2022 and 2023 periods.
- 4 forecasting exercises were carried out for the 2021 period and 7 for the 2022 period.
- Users can visualize the accruals of their lines for better control and decision making.
- Flows were defined for setting up and monitoring budgeting and forecasting exercises.
- Budget data upload to SAP was facilitated and security measures were implemented for users.
- Reports were generated for effective monitoring and agile decision making.

Progress Management System (SIGA):

The Context

Our client faced the challenge of improving the management of OKR dashboards, KPIs and area objectives that were handled through complicated Excel sheets, which made it difficult to update and maintain data.

Description

The Progress Management System (SIGA) was developed and implemented, a dynamic solution that allows the creation of various management dashboards, working with graph logic to automatically calculate the progress of higher levels from the progress recorded in the lower nodes.

Results

- Dashboard updates were reduced from 1 hour to 5 minutes per month.
- Information centralization was achieved and information management was decentralized.
- The system was scalable, allowing new dashboards to be added as needed.
- OKR, KPI and IT management dashboards were successfully implemented.
- The system was developed using modern technologies and deployed on a Kubernetes cluster for efficiency and availability.

Capacity Control

The context

In the challenges of pandemic and health regulations, needing to implement a solution to control the capacity in their offices.

Description

The Capacity Control system was developed and implemented, allowing to establish and monitor the limit of people on each floor or sector. In addition, a reception module was implemented to register the data of the people entering and a PDT device to scan the ID card.

Results

- Effective capacity control was achieved, preventing the established limit from being exceeded.
- 11 possible cases of COVID were detected by restricting access to people with high temperatures.
- Successfully managed 600 access refusals due to excess capacity.
- The system was implemented with modern technologies and deployed on a Kubernetes cluster.

Flows in Power Automate for sending notifications:

The context

The HR department in Chile needed to send notices about changes in the remuneration of employees, including those who did not have corporate email accounts.

Description

A flow was implemented in Power Automate integrated to the HR mailbox to send notifications through personalized emails, using information contained in an Excel file in SharePoint.

Results

- A total of 53,578 notifications were successfully sent in three batches.
- Communication about changes in compensation was facilitated for employees, including those without corporate accounts.

These success stories show how the implementation of appropriate IT solutions can solve operational challenges and improve efficiency in various areas of the company, providing benefits and positive results for the organization.
